Unlike profit-making enterprises, association event marketing efforts on prospective (and existing) clients, associations have a number of target markets including members, exhibitors, and sponsors. <\/span>Effectively marketing conferences, monthly meetings, networking events, trade shows, and annual meetings is important, however, promotion is just one aspect of marketing. \u00a0No amount of promotion can compensate for offerings that are not aligned with the needs of current and prospective members.<\/p>\n<p>It&#8217;s worth noting that some associations and chapters have recently ceased operation or merged. \u00a0In 2014. MPI&#8217;s Utah and Rocky Mountain Chapters merged. In 2015, MPI\u2019s Manitoba Chapter closed.<\/p>\n<p><span style=\"font-weight: 400;\">Every event represents an opportunity to reinforce the association\u2019s value proposition in order to retain current members and \u00a0grow the membership base. This will ensure:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">long term survival and viability <\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">financial stability (i.e. continual revenue streams through dues and fees for programs and events)<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Recently, <\/span><b>Harvard Business Review<\/b><span style=\"font-weight: 400;\"> addressed some of these challenges in <\/span><span style=\"font-weight: 400;\"><a href=\"https:\/\/hbr.org\/2016\/01\/to-stay-relevant-professional-associations-must-rebrand\">To Stay Relevant, Professional Associations Must Rebrand<\/a>:<\/span><\/p>\n<p><i><span style=\"font-weight: 400;\">\u201cAccording to the American Society of Association Executives \u2013 association membership is declining across the board. Social networks now provide easy and convenient ways for industry members to find each other and network, and the proliferation of online content has led to vast and often free access to the types of information, insights, and training that professionals used to be able to access only through association membership and industry conferences. \u00a0Millennial workers&#8230; place less value on formal and traditional means of networking\u2026.\u201d<\/span><\/i><\/p>\n<h3><b>1.Association event marketing efforts need to begin\u00a0<\/b><b>long<\/b><b> before you <\/b><b>think.<\/b><b><a href=\"\/wp-content\/uploads\/2016\/08\/aasa-alert.png\"><img decoding=\"async\" class=\"alignright wp-image-3708\" src=\"\/wp-content\/uploads\/2016\/08\/aasa-alert.png\" alt=\"Association Event Marketing Reminders\" width=\"311\" height=\"553\" \/><\/a><\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Lead times need to be longer for a number of reasons. Some companies have moved approvals to higher levels in the organizational hierarchy. It may take longer to get the required sign-offs. Budgets for conferences and professional development programs have been slashed in many organizations. It is important for prospective participants to get approval early before the budget has been earmarked for other initiatives. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">As a general rule of thumb, begin marketing next year\u2019s conference or trade show before this year\u2019s event is over.<\/span><span style=\"font-weight: 400;\"> If your conference has an app, encourage all participants to download it and send out \u201csave the date\u201d push notifications before this year\u2019s event is over. <\/span><span style=\"font-weight: 400;\">Extend special rates to this year\u2019s participants if they register for next year\u2019s event by a specified deadline. (Family resorts have successfully used this strategy for decades.)<\/span><\/p>\n<h3><b>2. Don\u2019t put all of your eggs in the social media basket.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">While online marketing has been popular for the past 20 years and there has been more and more emphasis on social media marketing during the past 12 years, it is important to use a mixture of online and off-line strategies for association event marketing.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A conference in Europe with major industry headliners was recently cancelled due to low ticket sales despite extensive social media promotion.<\/span><\/p>\n<h3><b>3. Identify the best channels and platforms for communicating with members.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">With association event marketing, it is important to pinpoint the best places to connect with members. It\u2019s easy to obtain this information. On membership applications, membership renewal forms, and event registration forms, you can request information about the most popular:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">blogs<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">social media channels<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">magazines and other periodicals<\/span><\/li>\n<\/ul>\n<p>This information will provide a detailed picture of the best connection points and help associations determine where to invest marketing budgets and efforts.<\/p>\n<h3><b>4. Get marketing support from registered participants\u00a0<\/b><\/h3>\n<p>For specific events, provide registered participants with email copy and PDF brochures to forward to colleagues. Hold membership drives and supply collateral support.<\/p>\n<p style=\"padding-left: 30px;\"><b>Online:<\/b><\/p>\n<ul>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">Post about upcoming conferences and association events on social media and other online channels that are popular with members.<\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">Launch a LinkedIn or Facebook Group to engage members throughout the year. \u00a0<\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">Use your <a href=\"https:\/\/www.eventmobi.com\/event-apps\/\" target=\"_blank\" rel=\"noopener\">event app<\/a> to send information about speakers and programming and reminders about early bird specials and registration deadlines.<\/span><\/li>\n<\/ul>\n<p style=\"padding-left: 30px;\"><b>Off-line:<\/b><\/p>\n<ul>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">Promotional postcards and print brochures are no longer used frequently. Involve speakers, exhibitors, and sponsors in association event marketing.<\/b><\/h3>\n<ul>\n<li><b style=\"font-family: Lato, 'Helvetica Neue', Helvetica, sans-serif; font-size: 16px;\">Expand your network. <\/b><span style=\"font-weight: 400;\">Ask speakers, exhibitors, and sponsors to promote association events on their social media channels, websites, and blogs. In fact, some associations include promotion clauses in speaker, exhibitor, and sponsor contracts.<\/span><\/li>\n<li><b>Bring your subject matter experts to light.<\/b><span style=\"font-weight: 400;\"> To spark interest in association events, host Twitter chats, and pre-event webinars featuring keynote speakers and facilitators for breakout sessions. <\/span><\/li>\n<li><b>Give first-time attendees an idea of what to expect.<\/b><span style=\"font-weight: 400;\"> Create a <a href=\"https:\/\/www.eventmobi.com\/blog\/\">Q &amp; A blog post <\/a>after interviewing a few of last-year\u2019s attendees, find out what they\u2019re looking forward to this year and write a post to capture and share the excitement.<\/span><\/li>\n<\/ul>\n<h3><b>6. Drive excitement with event\u00a0videos. <\/b><\/h3>\n<p><span style=\"font-weight: 400;\">YouTube and Vimeo videos are under-utilized but highly effective for promoting associations and their events. Grow your membership base by attracting emerging professionals. <\/b><\/h3>\n<p>With targeted strategies focusing on emerging professionals, organizations can attract new members, grow their membership base, and remain viable.<\/p>\n<p><span style=\"font-weight: 400;\">In addition to increasing visibility on social media channels that are popular with young professionals, be sure that event and agendas \u00a0include topics and entertainment that appeal to emerging professionals. ASAE described how the <\/span><a href=\"https:\/\/www.asaecenter.org\/resources\/articles\/an_plus\/2015\/december\/how-one-association-grew-meeting-attendance-and-membership-by-engaging-students\"><span style=\"font-weight: 400;\">American Academy of Optometry boosted its membership by engaging students<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p>Here are some examples of initiatives that market associations directly to emerging professionals.<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">The Toronto Board of Trade\u2019s <\/span><b>Young Professionals Network<\/b><span style=\"font-weight: 400;\"> (YPN) offers monthly networking and professional development events for members and non-members who are under 40.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Canadian Public Relations Society and the Public Relations Society of America (PRSA) has student memberships. In fact, PRSA has the affiliate Public Relations Student Society of America (PRSSA) that gives students access to local chapter events.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">MPI offers scholarships for students.This is an excellent way of increasing visibility and attracting students. <\/span><\/li>\n<li><b>The Future Leaders Forum<\/b><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">, a joint IMEX-MPI-MCI initiative, encourages the next generation to participate in industry trade shows IMEX and association events like MPI&#8217;s World Education Congress<\/span><\/span><\/li>\n<\/ul>\n<p><iframe title=\"Investing in future leaders at Meetings Africa 2013\" width=\"500\" height=\"281\" src=\"https:\/\/www.youtube.com\/embed\/lnE3wHYV9IA?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe><\/p>\n<h3><b>8. Design strategies to retain and attract members who are entrepreneurs.<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Gear some marketing initiatives to entrepreneurs. When entrepreneurs pay for membership out of their own pockets, they expect to derive value in terms of lead generation and business development. If there is no ROI for their membership, they leave. As more and more professionals opt for the entrepreneurial route, this can shrink the membership base significantly. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Ensure that entrepreneurs receive value for their membership. For example, be sure to rescind any policies that prohibit members from including websites and social media coordinates on presentation handouts. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Consider offering:<\/span><\/p>\n<ul>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">BNI-style structured networking events in which each participant gives a 60-second commercial and other members pass leads to them.<\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-weight: 400;\">Offer mini-trade show exhibits at some monthly events.
