They are the grassroots\u2014where the goals of collaboration and engagement are turned into action.<\/p>\n\n\n\n<p>They\u2019re often built around specific locations or causes, with a narrower focus than you might get at an annual meeting. Some chapter members may actually work together; others just share a community.<\/p>\n\n\n\n<p>But ultimately, chapters offer a focused peer collaboration opportunity\u2014with events at the center. And how do you get each one of those to connect with each other? GTA Really easy. You can walk down the street and have coffee at the coffee shop shop and you&#8217;re good. But in other areas where the transportation and the distance geography is vast. Then how do we do that? Everybody comes into a central location. That&#8217;s how we used to do it. Everybody comes into a central location. You have a three day, four day meeting. They get to connect and, you know, be away from home. But that&#8217;s not always convenient. As the pandemic showed us. We need to think about other ways to make that work. When the pandemic did hit like everybody else, we went to the Zoom land, didn&#8217;t know anything about Zoom land didn&#8217;t know how that would work, what that could look like. How do we engage on a screen where, you know, we&#8217;ve got four boxes now talking to each other and what are the rules around that and and that kind of thing. So while the in-person was really the way we started out, the organization has been in place since 1973. So we just had our 50th anniversary. Lots of change in those 50 years for sure. And it&#8217;s about how we now continue. Zoom will never go away for us. It makes life in the far north that much easier because we can connect this way. And then it&#8217;s about using that technology to figure out how Linda and Ernie can connect on or off a particular meeting screen or not. I think you need to have, certainly you have an idea of what content you need to deliver. So depending on what kind of meeting it is, if it&#8217;s a business meeting, you want to be able to get the business of the day that you have to get done, done. And I think you also need to be able to give space to attendees to connect with each other, to talk about the business that you&#8217;ve just delivered, in whatever way that is, and then to connect with it and see how they can use it in their own workplaces and own settings and give that time to idea generate and bounce things off each other. I don&#8217;t, I don\u2019t want to reinvent the wheel. If somebody has done it, I&#8217;m going to steal it and use it. Tweak it how I need to make it work for me. But somebody had that brilliant idea. Why can&#8217;t I use it and build on it? And I think you&#8217;ll see that in some places. That lived experience is shared, even though it could be another part of the province, another part of the country. And while there, you know, the design of it may be a little bit different there. Their issue might be focused in a different way. The general problem is still the same, So how do I then use that that chapter meeting to be able to connect and solve a problem that I have with the colleagues that I have in the room? And that should be that space should be valued and that time should be cherished because you don&#8217;t get it very often. You know, I sit in my office and if I&#8217;m thinking about designing a program, I don&#8217;t necessarily have all the time and space that I need to be able to do that. And I don&#8217;t know if something&#8217;s going to work, so I need to throw it out and and bounce it off someone that may be in the same place as I was or I am. And they can say, you know what? I did this this work. This didn&#8217;t work. Try. Why don&#8217;t we try this? Now that you know, we have new technology, now we&#8217;re getting into the AI realm I don&#8217;t know what that means exactly, but you know, when when I&#8217;m looking at generational issues and how I integrate this piece of equipment because it&#8217;s not going away. And, you know, I can say in a classroom, I can say put it away. But once you&#8217;re dealing with adults, they&#8217;re not going to put it away. So how do you utilize this and integrate it into the in-person meetings that you&#8217;re having so that everybody is engaged in some way, shape or form? Yeah, I actually think that both spaces and even a hybrid opportunity works well as long as you design it that way. And a lot of times you&#8217;ll hear people say that, Oh, I was I was part of a hybrid event. I was in person and we forgot about we forgot about them. We forgot to put them on the screen. And you have to really be intentional about making sure that the folks that are on screen are included. How do you do that? You know, when you do small table work in person, you draw up a breakout room for the rest of the folks that are online. And I think if I can&#8217;t make the event physically, the fact that I can be there in this space is really valuable. Lots of companies now with budgets the way they are and that resource constraint, this opportunity makes it very manageable to have somebody be able to attend a particular event or in a particular space where physically they may not be able to get there. And from a personal point of view, you may have kids at home, elderly parents at home, somebody you have to care for and getting away from your home base is not an option. This makes it inclusive for everyone.<\/p><\/div><\/div><\/wistia-player>\n\n\n\n<p>\u201cEngagement has changed and morphed over the decades, and will continue to do so as we move forward,\u201d she says. \u201cBut I don&#8217;t think that personal connection, that human connection, will ever go away.\u201d<\/p>\n\n\n\n<p>In many ways, understanding chapter engagement comes down to understanding who your chapter members are and how they need to be served. In fact, they can be sharply different in makeup and design. A few key facts about how chapters function:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>1. Chapters are largely tethered to the main organization.<\/strong><\/h3>\n\n\n\n<p>While chapters may have their own programming and organizational structure, they are designed to work within a larger framework. As Mariner Management &amp; Marketing and BillHighway\u2019s <a href=\"https:\/\/marinermanagement.com\/2022-chapter-performance-benchmarking-report\/\" target=\"_blank\" rel=\"noreferrer noopener\">2022 Chapter Performance &amp; Benchmarking Report<\/a> notes, more than three-quarters of the chapters it studied were either chartered or wholly-owned by the parent organization. This does have limits, however: The benchmark found that only 45% of chapters required its members to join the main organization.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>2. Chapters can act as fully autonomous, however.<\/strong><\/h3>\n\n\n\n<p><a href=\"https:\/\/www.mckinley-advisors.com\/blog\/best-practices-for-association-chapter-models\" target=\"_blank\" rel=\"noreferrer noopener\">As McKinley Advisors notes<\/a>, some chapters may choose to go with an autonomous model, which allows the chapter to focus on the needs of chapter members without direct influence from the parent organization. This can lead to more responsive chapter relations\u2014while disconnecting the chapter from the national organization.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>3. Chapters don\u2019t have to be geographically oriented.<\/strong><\/h3>\n\n\n\n<p>In recent years, improved technology has allowed the creation of chapters based on interest area rather than location, <a href=\"https:\/\/www.asaecenter.org\/resources\/articles\/an_plus\/2017\/march\/considerations-for-creating-virtual-chapters\" target=\"_blank\" rel=\"noreferrer noopener\">leading to the rise of \u201cvirtual chapters\u201d<\/a> in which people largely collaborate in purely digital settings.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>4. The most important resource chapters offer is education.<\/strong><\/h3>\n\n\n\n<p>According to the Chapter Performance &amp; Benchmarking Report, 95% of chapters offer professional development events, the most popular chapter offering. General networking, at 82%, was previously almost as popular as education, though that has receded slightly in recent years, likely because of the pandemic.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Understand Who You\u2019re Trying To Reach<\/h2>\n\n\n\n<p>Hoff makes clear that while ONA\u2019s chapters vary wildly in proximity and size, creating unique dynamics depending on which part of Ontario the chapter is located in.<\/p>\n\n\n\n<p>Association chapters have much to manage, and one of those things is physical distance, which can be a factor even among individual chapters. ONA, a trade union with more than 68,000 members, has chapters within five regions that differ sharply, creating the potential for vastly different membership experiences.<\/p>\n\n\n\n<p>The largely rural Region 1, for example, covers parts of the province that can be difficult to reach by car. Meanwhile, Region 3 is based around Toronto, Canada\u2019s largest city, making it possible not only for regular chapter meetings, but frequent regional meetings. ONA, for one, has a Francophone membership contingent and Indigenous members. Those may require specialized offerings, like translation tools. Additionally, chapters are often an important way to introduce <a href=\"https:\/\/www.eventmobi.com\/blog\/appeal-to-gen-z\/\" target=\"_blank\" rel=\"noreferrer noopener\">new generations<\/a> of students to the fold.<\/p>\n\n\n\n<p>Chapters are defined both by their regionalism and their ability to serve members with more specific needs\u2014and chapter meetings should account for that.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Give Chapter Members Useful Content\u2014And Connection<\/h2>\n\n\n\n<p>Chapter meetings can take many forms, but the most common type involves professional development. With that in mind, Hoff says it\u2019s important to listen to the needs of chapter members to understand the educational opportunities that matter most to them. She recommends leaning into the event\u2019s small scale.<\/p>\n\n\n\n<p>\u201cIn a small chapter event, you know most of the people that are there, and you have the opportunity to connect with those folks that can truly help you figure out what that problem is, or give you a supplier that can help you, or a lead on something that you know will be able to solve that problem for you,\u201d she says. \u201cA large tent space? Even if it\u2019s a meeting to manage the basic business of the chapter, there should be room for networking at each event, as the scale makes such connections important.<\/p>\n\n\n\n<p>\u201cThat space should be valued and that time should be cherished,\u201d she adds. \u201cBecause you don&#8217;t get it very often.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The Good &amp; Bad Of Integrating Tech<\/h2>\n\n\n\n<p>Technology has shifted significantly in recent years, to the point where it often dominates the discussion, even with everyone in the same room. Hoff says smartphones are the biggest change she\u2019s seen in her entire career. There\u2019s a constant risk of distraction.<\/p>\n\n\n\n<p>\u201cIn a classroom, I can say, \u2018Put it away,\u2019 but once you&#8217;re dealing with adults, they&#8217;re not going to put it away,\u201d she says.<\/p>\n\n\n\n<p>It\u2019s not all bad, however. Hoff sees positive side effects from tech\u2019s ice-breaking nature. For example, it was previously possible to walk into a chapter meeting and not know anyone beyond perhaps a name, or the person\u2019s voice on the phone. But that has significantly changed in recent years.<\/p>\n\n\n\n<p>\u201cTechnology allowed me to be able to physically see you,\u201d Hoff says. \u201cAnd now, when I am in person with you, it&#8217;s like long-lost friends. You come together, you know them, you know where you may have been.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Mixing Virtual Into Chapter Events<\/h2>\n\n\n\n<p>The rise of virtual events has created new ways for chapters to interact, making them less tied to geographic areas. As the Mariner Management report states, chapters now have room to organize based on time zone and turn chapter events into <a href=\"https:\/\/www.eventmobi.com\/hybrid-events-platform\/\" target=\"_blank\" rel=\"noreferrer noopener\">hybrid events<\/a>.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"1024\" height=\"434\" src=\"https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-1024x434.png\" alt=\"To the left a theater full of association chapter members attending an educational conference, on the right a production team streams the event online as part of a hybrid event strategy.\" class=\"wp-image-76595\" srcset=\"https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-1024x434.png 1024w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-300x127.png 300w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-768x326.png 768w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-1536x651.png 1536w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-216x92.png 216w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event-700x297.png 700w, https:\/\/www.eventmobi.com\/wp-content\/uploads\/2024\/08\/hybrid-chapter-event.png 2048w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Leaders are often skeptical, but even so, the virtual elements speak for themselves, according to Hoff.<\/p>\n\n\n\n<p>\u201cThey have seen that you can engage someone who may not be able to attend in person for whatever their circumstances, but they can still participate and still bring those grassroots issues to a larger table,\u201d she says.<\/p>\n\n\n\n<p>However, accommodation needs to be considered in this context. ONA uses EventMobi to offer auto-translation services for Francophone members. And of course, moderators need to ensure that people on the other end of the line don\u2019t get lost in the shuffle.<\/p>\n\n\n\n<p>\u201cA lot of times you&#8217;ll hear people say, \u2018I was part of a hybrid event, I was in person.
